This page sets out how AR Gardiner & Co. Ltd ("the practice", "I", "me") handles your personal data when you use this website, contact me, or become a client. It is written in plain English. The point is not to cover every legal eventuality — it's to tell you, honestly, what happens to your information.
Who I am
AR Gardiner & Co. Ltd is a limited company registered in England & Wales (company number 07571203), with registered office at Marwood House, Stones Cross Road, Crockenhill, Kent BR8 8LT. I am the data controller for the personal data described on this page. You can contact me at bobby@argardiner.co.uk.
What I collect
If you use the contact form or email me, I collect:
- Your name and email address
- The content of the message you send
- The topic you select on the form (if you use the form)
If you become a client, I'll additionally hold the records I need to do the work — typically including your address, date of birth, National Insurance number, UTR, accounting records, payroll information for any employees, and identification documents required under anti–money laundering (AML) rules.
Why I hold it, and the legal basis
- To respond to your enquiry — legal basis: legitimate interests (responding to a request you've made).
- To provide the accountancy or tax services you've asked for — legal basis: performance of a contract.
- To meet AML, tax and accounting record-keeping obligations — legal basis: legal obligation under UK law.
Who I share it with
I don't sell or rent your data, ever. I share data only where necessary to do the work or meet legal obligations:
- HM Revenue & Customs and Companies House — submission of returns, accounts and registrations
- Software providers I use to run the practice (e.g. accounts software, payroll software, secure document exchange)
- The Association of Accounting Technicians (AAT) where I'm required to as part of my professional regulation
- Other professional advisers acting for you, only with your specific authority
How long I keep it
For client records, I follow the retention periods required by UK tax, accounting and AML legislation — typically a minimum of six years from the end of the accounting period to which they relate. For enquiry correspondence that doesn't lead to engagement, I delete the records within 24 months.
Your rights
Under UK GDPR you have the right to access, correct, or ask for the deletion of your personal data, and the right to object to certain processing. To exercise any of these, email bobby@argardiner.co.uk. If you're unhappy with how I've handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
